The Gainesville-Alachua County Regional Airport Authority (referenced herein as “Authority”) is seeking competitive Proposals for the operation and management of a maximum of five on-airport car rental concessions within the passenger terminal building at the Gainesville Regional Airport. The Concession Agreements will be awarded for a term of five years. The term of the agreement will begin on October 1, 2025 and extend through September 30, 2030.  An additional 5 year term will be considered at the sole discretion of the Authority.

Mandatory Pre-Proposal Meeting for Non-Incumbent Companies: Monday, March 17, 2025 10:00 a.m.
Deadline for Questions: Thursday, March 20, 2025 5:00 p.m.
Proposal Deadline: Tuesday, April 15, 2025 4:00 p.m.
Recommendation to Authority: Thursday, April 24, 2025
Contract Start Date: October 1,2025

Each RFP must conform to the requirements contained in the “Instructions to Proposers” and must include a complete set of all required documents and forms.  PLEASE INCLUDE ONE, SIGNED ORIGINAL AND TWO (2) COPIES.

Questions will be answered by an addendum that will be sent via email. No response will be given to questions received after 5:00 p.m. on Thursday, March 20, 2025. A cashier’s check, certified check, or acceptable RFP Bond, payable to the Gainesville Regional Airport in the amount of fifteen thousand dollars ($15,000.00), must accompany each RFP to guarantee that, if awarded the contract, the Proposer will, within fifteen (15) days after receiving Notice of Award, enter into a contract, provide an acceptable Certificate of Insurance, and execute bonds on the forms provided in the Contract Documents.

The receipt of each addendum if any, shall be acknowledged by the Proposer in the space provided on the addenda form and shall be enclosed with the RFP when it is submitted. All addenda shall become a part of the contract documents.

Performance Bond information is found in the Instructions to Proposers. All proposals must comply with specifications. All proposals will remain open for ninety (90) days after the submission deadline.

The Authority will award the contract to a maximum of five highest responsive proposals. The Authority reserves the right to reject any or all RFPs, cancel the RFP, or reissue the RFP.
